This document explains how Little Moo Group reviews, updates, versions and publishes its legal documents and how material changes may be communicated.
1. Introduction
Little Moo Group maintains a central collection of legal documents to explain who we are, how we operate and the terms and policies that may apply when people visit our websites or work with us.
This document explains how those legal documents are managed, reviewed, updated and published.
Little Moo Group is the overarching trading identity of Little Moo Limited, a company registered in England and Wales under company number 16986790.
Throughout this document, references to “Little Moo Group”, “we”, “our” and “us” mean Little Moo Limited unless expressly stated otherwise.
2. Purpose of this document
The purpose of this document is to provide a transparent and consistent approach to managing the Little Moo Group Legal Framework.
It explains:
- which Group-level legal documents are maintained;
- how they are identified and versioned;
- why they may be reviewed or changed;
- when an updated version takes effect;
- how material changes may be communicated;
- and how previous versions may be requested where reasonably available.
This document does not replace the change, notice or amendment provisions contained in a particular Agreement.
3. The Little Moo Group Legal Framework
The Little Moo Group Legal Framework is the central collection of legal and operational documents published for Little Moo Group.
It currently includes:
- the Legal Centre;
- Company Information;
- Master Terms & Conditions;
- the Privacy Policy;
- the Cookie Policy;
- the Website Terms of Use;
- the Accessibility Statement;
- the Copyright & Intellectual Property Notice;
- Service Availability & Support information;
- the Complaints Policy;
- and this Document Updates & Version History document.
These documents work together but do not all have the same legal purpose.
Some documents provide information or explain operational practices. Others may form part of a legally binding Agreement where they are expressly incorporated.

The register may be updated when a document is added, renamed, replaced, consolidated or withdrawn.
The version information displayed on the individual document page should be treated as the current published record for that document.
5. How documents are reviewed
We review legal documents periodically and when circumstances indicate that an earlier review is appropriate.
A review may consider:
- whether company information remains accurate;
- whether the document reflects how we currently operate;
- whether terminology remains clear and consistent;
- whether links and contact details remain correct;
- whether legal or regulatory requirements have changed;
- whether new Services, systems or processing activities exist;
- whether customer feedback identifies uncertainty;
- whether a complaint or incident suggests improvement;
- and whether documents continue to work together consistently.
A review does not always result in a change. Where a document remains accurate and appropriate, its existing version may continue.
6. Why documents may change
We may update a legal document because of:
- changes in legislation or regulation;
- new or updated regulatory guidance;
- changes to our company information;
- changes to our divisions, Services or websites;
- changes to our suppliers, platforms or technology;
- new business or data processing activities;
- changes to payment, support or communication processes;
- security, fraud-prevention or operational requirements;
- feedback from customers, users or advisers;
- lessons identified through complaints or incidents;
- the correction of an error or ambiguity;
- or improvements to clarity, accessibility and presentation.
We may also introduce a new document where a subject requires clearer or more detailed treatment.
7. Types of change
Changes may be administrative, clarifying, operational or material.
Administrative changes
These may include:
- correcting spelling, punctuation or formatting;
- repairing a link;
- updating an email address or telephone number;
- updating a company or regulatory detail;
- improving navigation or accessibility;
- or making another change that does not alter substantive rights.
Clarifying changes
These improve the wording or structure without intending to change the practical legal position.
Operational changes
These reflect a change to a process, system, supplier, support channel, website feature or service arrangement.
Material changes
A material change is one that may significantly affect rights, responsibilities, the use of personal information or the way an ongoing Service is provided.
8. Version numbering
Each legal document is assigned a document ID and version number.
The initial published version is normally identified as Version 1.0.
Future versions may use the following approach:
- Minor update — a change such as 1.0 to 1.1, normally used for administrative, clarifying or limited operational amendments;
- Major update — a change such as 1.1 to 2.0, normally used where substantial sections, rights, responsibilities or processing activities change.
We may use a different numbering approach where appropriate, provided the current version remains clearly identified.
9. Effective dates and publication
Each legal document should identify an effective date.
The effective date is the date from which the published version is intended to apply, subject to:
- mandatory law;
- the terms of an existing Agreement;
- any notice period that must be provided;
- and any specific implementation arrangements.
A document may be published before its effective date so that affected users or customers have time to review it.
The current published version will normally be available through the Little Moo Group Legal Centre.
An accidental delay in updating a displayed review date does not by itself invalidate an otherwise applicable legal document.
10. Changes affecting existing Agreements
Publishing a revised legal document does not automatically change every existing fixed Agreement.
Whether a revised document applies to an existing Customer depends on:
- the wording of the applicable Contract Documents;
- the type and duration of the Service;
- whether the document was incorporated into the Agreement;
- the nature of the change;
- any required notice period;
- and applicable law.
For ongoing or Recurring Services, a Contract Document may allow reasonable changes for stated reasons.
Where a material change affects an existing Agreement, we will provide any notice, cancellation right or other remedy required by the Agreement or law.
A change required urgently for security, legal compliance or the prevention of harm may need to take effect more quickly.
11. How changes may be communicated
The way a change is communicated will depend on its nature, significance and the people affected.
Communication may include:
- publication through the Legal Centre;
- a notice on the relevant legal document;
- email to an affected Customer or account contact;
- a notice through a client portal;
- a website banner or account notification;
- a notice within an invoice or renewal communication;
- a support or service announcement;
- or another durable written communication.
We do not normally send individual notice for minor administrative or formatting changes.
Customers are responsible for maintaining current contact details so that important communications can be delivered.
12. Website policies and statements
Policies and statements relating to website use, privacy, cookies, accessibility and intellectual property may be updated as our websites and legal obligations develop.
Updated website documents normally apply to future website use from their effective date.
Where a change significantly affects how existing personal information is used, we will provide additional notice where required by data protection law.
Where cookie or similar technology use changes materially, users may be asked to review their preferences again.
13. Contractual documents
Contractual documents may include:
- Master Terms & Conditions;
- service-specific terms;
- proposals and quotations;
- statements of work;
- order confirmations;
- support agreements;
- data processing terms;
- and other written terms expressly forming part of an Agreement.
Changes to an accepted proposal, quotation, statement of work or another individual Contract Document normally require written agreement unless that document contains a valid amendment mechanism.
A revised website page does not override a specific signed or accepted Contract Document unless the Agreement expressly permits that result.
14. Division-specific documents
Little Moo Media, Little Moo Hosting, Little Moo Print and Little Moo Connect may publish or provide their own service-specific legal documents.
Those documents may contain terms relating to matters such as:
- creative and design projects;
- website design and development;
- hosting, email, domains and infrastructure;
- print production and artwork approval;
- directory listings, advertising and community standards;
- support, maintenance and backups;
- and other specialist Services.
Division-specific documents may use their own version numbers, review dates and publication records.
Where a division-specific document applies to a Service, it should be read alongside the relevant Group-level documents.
15. Previous and archived versions
We may retain previous versions of legal documents for legal, regulatory, evidential and operational purposes.
Previous versions may not remain publicly accessible through the website once they have been replaced.
A person who reasonably requires a previous version may contact us and provide:
- the document title or ID;
- the approximate date required;
- the Service or Agreement concerned;
- and the reason the earlier version is needed.
We will consider the request and provide the relevant record where reasonably available and legally appropriate.
We may withhold or redact material where disclosure would breach confidentiality, data protection, security or another legal obligation.
16. Corrections and urgent changes
We may correct an obvious error without advance notice.
An obvious error may include:
- a typographical mistake;
- a broken link;
- an incorrect document reference;
- outdated contact information;
- or a formatting or display problem.
An urgent substantive change may be required where necessary to:
- comply with law or regulatory action;
- address a material security issue;
- prevent fraud, misuse or harm;
- respond to the withdrawal of an essential supplier;
- or correct wording that creates a serious legal or operational risk.
Where possible, we will explain the nature and timing of an urgent material change.
17. Customer responsibility
Customers should retain copies of important Contract Documents, quotations, proposals, notices and approvals relating to their Services.
Customers are also responsible for:
- keeping their contact information current;
- reviewing material notices sent to authorised contacts;
- reading revised documents where notified;
- raising questions before accepting a material change;
- and downloading or retaining documents made available through a portal where appropriate.
A Customer should contact us promptly if it believes the wrong document or version has been applied to its Agreement.
